AGM & Executive Board Positions

The AGM for our 22/23 season will be on May 2, 2023 at 7pm in the Parkhill Community Centre.

Thank you BBQ for parents/caregivers 6:30-7 pm
Meeting 7 pm 

During the AGM we will be taking nominations and voting on the executive board members' positions that need to be filled.

As an executive member, you get a minimum of 350 off your player's registration and your volunteer credits and help make important decisions that will benefit our organization.

At this meeting, we will be going over the 22/23 season and voting on executive board positions.

If there is more than 1 nominee for any position, everyone nominated must explain to the membership why they would be the best fit for the position.

We will be voting on the follow positions:
• Vice-President
• Shamrock OMHA Rep
• Local League OMHA Rep
• Treasurer
• Registration
• WOGHL Rep
• Bars/Plaques/Team Photos Coordinator
• Player Development Coordinator
• Tournament Director
• Volunteer Coordinator
• Community Event Coordinator
• Fundraising Coordinator

Early nominations closes on April 29, 2023.

If there are multiple nominations for one position, all nominees for that position will be asked to explain why they will be a good fit for that position to our membership at the AGM.

Someone from your hockey family must attend to have your AGM cheque returned to you.


At this meeting, we will be electing multiple important executives' roles and discussing the future of our association.

We ask all our members of the NMDMHA association to attend this meeting.

Position Details:

All positions are a 2 year term
VICE-PRESIDENT shall act in the absence of the President and shall render such assistance to the President that may be required. The Vice-President shall have co-signing authority. The Vice-President shall oversee the U6/U7 Coordinator, Equipment Manager, Tournament Chairperson, Fundraising Co-ordinator, Communications Co-ordinator, and Coaching Coordinator. They will also sit on the Coaches Selection Committee. 

REGISTRAR shall be responsible for all activities associated with player registration in the Association including organizing registration sessions, remitting funds to the Treasurer, providing a summary to the Executive Board and registering players throughout the season. The Registrar is to collect the parental/guardian Sponsorship confirmation information Fundraising Co-ordinators as indicated on the registration forms. Attend NMDMHA meetings.

TREASURER shall deposit and maintain all funds in the official NMDMHA account. The Treasurer shall record all finances and have co-signing authority. The Treasurer shall collaborate with other Executive Board members to develop the NMDMHA annual operating budget. The Treasurer shall give a written financial report including a Balance Sheet and a Profit & Loss Budget Performance report at each Executive Board meeting for approval. The Treasurer shall prepare and distribute a written report summarizing the Profit & Loss Budget Performance for the year as well as a Balance Sheet for the Annual General Meeting. The Treasurer shall have the books reviewed by an outside party every two years.  Attend NMDMHA meetings.

SHAMROCK LEAGUE REPRESENTATIVE shall be responsible for all contact with the Shamrock Hockey League on behalf of the Association and for reporting all pertinent Shamrock Hockey League information to the Executive Board and Coaching Staff of NMDMHA teams. The Shamrock Representative shall be responsible for attending all Shamrock League Meetings and for assisting in drawing up schedules. They shall be responsible to Notify Shamrock Teams their games for Regular season, Playdowns and Playoff games.  Attend NMDMHA meetings.

LAMBTON MIDDLESEX LOCAL LEAGUE REPSENTATIVE shall be responsible for all contact with the Lambton Middlesex Hockey League on behalf of the Association and for reporting all pertinent Lambton Hockey League information to the Executive Board and Coaching Staff of NMDMHA teams. The Lambton Middlesex Representative shall be responsible for attending all Lambton Middlesex League Meetings and for assisting in drawing up of schedules or contacting coaches to schedule their own schedules. They shall be responsible to Notify Lambton Middlesex Teams their games for Regular season, and Playoff games.  Attend NMDMHA meetings.

WESTERN ONTARIO GIRLS HOCKEY LEAGUE (WOGHL) shall be responsible for all contact with the Western Ontario Girls Hockey League on behalf of the Association and for reporting all pertinent WOGHL information to the Executive Board and Coaching Staff of NMDMHA teams. The WOGHL Representative shall be responsible for attending all WOGHL League Meetings and for assisting in drawing up of schedules or contacting coaches to schedule their own schedules. They shall be responsible to Notify WOGHL Teams their games for Regular season, and Playoff games. They shall be responsible for WOGHL registration on behalf of NMDMHA. Attend NMDMHA meetings.

TOURNAMENT CHAIRPERSON shall be responsible for setting up rules and regulations and duties in relation to all tournaments operated by NORTH MIDDLESEX AND DISTRICT MINOR HOCKEY ASSOCIATION and shall work with the co-operation of all coaches and managers of the teams concerned.  Attend NMDMHA meetings.

BARS/PLAQUES/TEAM PHOTOS is responsible for ordering bars and plaques for the entire NMDHMA to either individual players, or teams. Bars/Plaques/Team Photos Co-ordinator is responsible to contact Photography companies to arrange dates and times for all players and teams to have pictures taken. Responsible for Spirit Wear day and purchased items from Spirit Wear day.  Attend NMDMHA meetings.

 

PLAYER DEVELOPMENT COORDINATOR is responsible for coordinating Hockey development sessions such as: Power Skating, hockey skill development, goalie clinic, and body checking clinics.  Attend NMDMHA meetings.

VOLUNTEER COORDINATOR is responsible for coordinating, and organizing volunteer activities. Create forms membership to sign up for tasks and track executive and coaching positions and volunteer credits. Attend NMDMHA meetings.

FUNDRAISING CO-ORDINATOR is responsible for co-ordinating all fundraising activities sanctioned by the NMDMHA.   Fundraising must provide financial records and statements for each fundraising activity. The Fundraising Co-ordinator is to be an informational support to the individual NMDMHA team managers regarding their fundraising initiatives and documentation. Collecting Association sponsorships from business.  

COMMUNITY EVENT COORDINATOR is responsible for planning, coordinating, and executing community events that align with the NMDMHA's goals and objectives. This role is responsible for managing all aspects of the event, from concept to completion, including planning, logistics, budgeting, promotion, volunteers and evaluation. The Community Events Coordinator will work closely with other organization members, volunteers, players, coaches and community partners to ensure successful events. They will be responsible for planning and coordinating community events such as minor hockey days, charity initiatives, Wing Night/fundraisers, and additional sporting events, events that partner with the North Middlesex YMCA and North Middlesex Stars, Community Santa Claus parade(s) and any other events that may appear during the year.
